The Opportunity

The Estates and Infrastructure Services is responsible for the management and strategic oversight of the University’s property, buildings and infrastructure at all campuses and centers throughout its 12 member countries. The sections responsibilities include Strategic Asset Management, Maintenance Services, Design and Project Management Services, as well as Occupational Health, Safety, Sustainability and DISMAC Services.

The Coordinator Conferencing & Lodge Services is responsible for coordinating the day-to-day operations of the University's conferencing and lodge services at the Fiji Hub (Laucala Campus), while supporting the delivery of high-quality hospitality services across the wider regional network. The role oversees venue bookings, conference and event coordination, accommodation operations, and front-office service delivery to ensure outstanding customer experience for students, staff, guests, and external clients. 

This is an exciting opportunity for a proactive and customer-focused professional to lead the delivery of conferencing and accommodation services at USP's largest campus while contributing to the continuous improvement of hospitality services across the University's regional operations.

Specific Duties

  • Coordinate venue enquiries, bookings, event planning and delivery, ensuring venues are prepared, equipped, and operational for all conferences, meetings and University events.
  • Oversee lodge operations, including reservations, guest check-in and check-out, room allocation, housekeeping coordination, and customer service.
  • Coordinate furniture, audio-visual equipment, catering, cleaning and other support services to ensure seamless event delivery.
  • Liaise with internal service providers, Facilities teams, ITS, contractors and external vendors to maintain agreed service standards and resolve operational issues.
  • Supervise, coach and support Conferencing & Lodge Officers, including staff rostering, performance monitoring, training and development.
  • Monitor venue utilisation, accommodation occupancy, inventories, and operational resources to maximise efficiency and revenue.
  • Ensure compliance with occupational health and safety requirements, cash handling procedures, customer service standards, and University policies.
  • Prepare daily, weekly and monthly operational reports, including booking statistics, occupancy levels, revenue performance, reconciliations and service performance indicators.

The Person we Seek

To be considered for this position, applicants must have:

  • A degree in Hospitality/Event Management or related field and
  • Three (3) years of relevant experience and management expertise in technical or administrative fields;
  • Strong coordination, stakeholder service, and digital booking/reporting skills;
  • Experience with rosters, vendors, and FOH/FO operations;
  • Pacific regional experience;
  • Knowledge of venue codes, food safety, and contracting.

The position is available for a term of three years and may be renewed by mutual agreement.

Salary Range

  • FJ$52,546 to FJ$64,371 per annum
