The Opportunity
The University of the South Pacific (USP) is seeking an Executive Officer to join the Planning and Quality Office, Laucala Campus. The Executive Officer position, which reports directly to the Director – Strategy, Planning and Business Intelligence ensures the smooth functioning of the Planning and Quality Office by providing high-level administrative, operational, and strategic support. The incumbent will manage meeting schedules, office logistics and stakeholder communication, while supporting overall Planning & Quality workflows. The position ensures PQO alignment with University processes and timelines, facilitates the preparation of strategic documents and reports, and drives process improvements for effective and timely deliverables.
Responsibilities of the Executive Officer also include:
- Administrative and Operational Oversight:? Provide high-level administrative support and coordinate daily operations, including calendars, meetings, travel, finances, confidential matters, and staffing processes.
- Coordination and Communication: Coordinate team activities and act as the key liaison between the Director, staff, committees, and external stakeholders, managing correspondence, briefs, and reports.
- Strategic Planning & Performance Reporting Support: Support the preparation of strategic plans, reviews, performance reports, policy papers, briefings, and track action items to ensure timely reporting and delivery.
- Policy & Procedure Coordination: Support policy and SOPs development and reviews, interpreting and refining procedures to enhance effectiveness and compliance.
- Risk & Compliance Monitoring: Monitor compliance with procurement, regulatory deadlines, and University policies, and escalate risks or issues as required.
- Workplan Monitoring & Reporting: Track and report on the implementation of the annual workplan to ensure alignment with office and University priorities.
The Executive Officer will be required to provide the relevant support to the Director - Strategy, Planning and Business Intelligence, including:
- Identifying areas for improvement, coordinate solutions with relevant staff, and provide guidance when required.
- Attending to other duties as and when required by the Director - Strategy, Planning and Business Intelligence.
The Person We Seek;
To be considered for this position, applicants must have:
- A Bachelor’s degree in Business Administration, Management and Public Administration or a related discipline; and
- Three (3) years of relevant experience and management expertise in technical or administrative fields.
- Knowledge of academic and administrative policies and interrelationships.
- Strong written and verbal communication skills, with the ability to prepare accurate, clear, and professional documentation.
- Demonstrated experience providing administrative, operational, and coordination support within an organisation;
- Sound knowledge of governance, planning, reporting and compliance processes, including preparation and coordination of papers, briefs and reports for senior management and external stakeholders;
- Proven experience coordinating workflows, deadlines, and deliverables across multiple stakeholders, with the ability to prioritise competing demands and exercise sound judgement;
- Experience monitoring and tracking action items, workplans, and reporting cycles, ensuring timely follow-up and completion;
- Demonstrated experience in financial and administrative coordination, including budgets, procurement, payments, and travel arrangements; and
- Strong written and verbal communication skills, with the ability to prepare accurate, clear, and professional documentation.

Remuneration
The position is available for a term of three (3) years and may be renewed by mutual agreement subject to successful performance outcomes.
Salary Range: FJ $52,546.71 to FJ $64,371.97 per annum.
