The Opportunity

The University of the South Pacific (USP) is seeking a Data Assistant to join the Student Administrative Services (SAS) at Laucala Campus. Under the direction of the Group Manager (Student Administrative Services), the Data Assistant will be responsible for the accurate and timely input of course, program, and student data into the Banner System.

Under the guidance of the Coordinator Student Data, and in close collaboration with Coordinators and Managers from Student Administrative Services, this role encompasses a wide range of responsibilities, including:

• Handling key processes such as admissions, registration, completion, tests, examinations, results, and graduation;

• Ensuring the prompt input of approved data in accordance with the daily schedule provided by the Coordinator Student Data;

• Generating standard reports and maintaining records within agreed-upon timeframes and as outlined in the annual work plan of the Data Team.

Additionally, the Data Assistant will be actively engaged in regular data scrubbing exercises for Laucala Campus, and as directed by the Coordinator Student Data, provide support for other USP Campuses across the region during set dates each semester.

Furthermore, this role extends beyond data entry to encompass vital services, including facilitating training on the Banner Student Module and MIS Online for other users, contributing to the enhancement of the Banner Student User Manual.

The Data Assistant may be required to work after hours and during weekends throughout most months of the year.  Due to the access level to student records on the Banner System, the incumbent may be restricted from pursuing courses at USP.

The Person We Seek;

To be considered for this position, applicants must have:

  • A Diploma level qualification in (Office Management or relevant field) with one (1) year of experience in data entry or administration; or
  • Certificate level qualification with 3 years post-certificate relevant work experience; or
  • An equivalent combination of relevant experience and education/training;
  • Proficiency in computer applications, including Microsoft Office Suite;
  • Demonstrated flexibility and adaptability to handle changing work schedules, including evenings and weekends;
  • Previous experience facilitating training sessions or providing user support is a plus;
  • Ability to contribute to the improvement of user manuals and training materials;
  • Understanding of data privacy and security principles, including compliance with relevant regulations and policies;
  • Strong time management and organizational skills;
  • Ability to prioritize tasks and meet deadlines consistently;
  • Strong team player with a commitment to fostering a collaborative and positive work environment;
  • Previous experience working in an academic or educational setting is a plus.

It is desirable that the appointee has:

  • At least three years working experience in data entry in a tertiary institution, with a preference for experience with the Banner ERP Student System;
  • Strong attention to detail and data accuracy;
  • Proficiency in data validation, data quality assurance, and record maintenance;
  • Excellent communication and interpersonal skills;
  • Ability to collaborate effectively with cross-functional teams and internal stakeholders.

Remuneration

This position is available for a term of three (3) years and may be renewed by mutual agreement.

Salary Range:  FJ $26,029.68 to FJ $34,787.23 per annum.
